Every office has its own set of rules to get leads to specific agents or different ponds, and you need distribution rules that are flexible for your agents. Firepoint's distribution rules allow you to choose multiple options for getting your leads to the right spot.
The steps below will guide you through the process of setting up your distribution rules based on the options available in Firepoint. Please note, in order to set up your office's distribution rules, you will need to have admin access.
From the navigation panel, click on Office Settings and then Lead Distribution.
Next, follow along with the steps below to create a rule that fits the structure of your lead flow to your agents, loan officers, and ISAs.
Step 1: Click on New Distribution Rule to start the process.
Step 2: Create a title for your new rule.
Step 3: Select the Lead Type. Please note, Buyer and Seller indicates that the lead is both buying and selling at the same time.
Step 4: Check the box for all the lead sources that this rule applies to.
Step 5: If you want your leads to be routed based on the tag the lead imports in with, you can add that tag here. If there are multiple tags, you will want to separate them with a comma.
Step 6: If you would like your lead distribution rule to be for a specific time of day, choose the hours you would like it to be set for.
Step 7: Select what days of the week you would like the rule to be active.
Step 8: If you would like to have a price minimum, you would add it here.
Step 9: If you would like to have a price maximum, you would add it here.
Step 10: Select the locations you want the rule to apply for.
Step 11: The lead owner assignment can be set up in a couple of different ways. The first way is by round robin. This is where the lead is assigned to either an individual agent or round robins through a group of agents until the lead is accepted.
Step 12: Add your agents to the rule under Eligible Lead Owners. You can also weigh the leads per round so that if you want an agent to have more chances at leads, you can have them at a higher percentage. The three bars on the right allow you to change the order of your agents.
Step 13: You can select to have leads distributed through a set rotation or a rip away rule. With the rip away rule, you can choose the amount of time the agent has to accept the lead before it moves onto a new agent.
Step 14: If it goes through the entire agent rotation and is not accepted, you can choose to do one of the following:
- Assign it to the first team member that was in the rotation for that round
- Assign it to a specific team member
- Add the lead to a specific pond
Step 15: You also have the option of pond distribution. This will allow the lead to be sent to a pond you specify. All team members of that pond will have the option to claim the lead. It is first come, first serve for the ponds which helps promote speed to lead.
Step 16: Select the pond you want the lead to go into.
Step 17: If you have the Fire Dialer, you have the option to use our Automated Assistant Texting that uses AI technology to text your leads. This article goes over the Automated Assistant in more detail, including how to set it up: Firepoint's Automated Assistant.
Please note that you will not want to use the Auto Lead Owner Texting feature in the distribution rule as this will likely lead to confusion for your leads. Also, you will not be able to use this feature if you are using Ylopo's AI, Raiya.
You will want to make sure you have your office hours set up so texts do not go out to the lead in the middle of the night. This article goes over how to set this up: How do I set quiet hours for my text messages in campaigns and auto-texts?
Step 18: If you have the Fire Dialer and are not using the Automated Assistant Texting feature, you have the option to send out an auto-text from the lead owner once the lead is accepted.
- Select the text template you want to automatically send out once the lead is accepted.
- Choose how quickly you would like the text to be delivered. It can be instantly or after a delay.
- If you want it after a delay, pick the time you want it to go out after the lead is accepted.
Step 19: You can have a campaign auto-assign to a lead once it is accepted. To do this, click Yes and select the campaign you want to start. If you have the Automated Assistant enabled, you will see a warning if you are trying to assign a campaign that has texts in it.
Step 20: You can add tags to a lead through a distribution rule. The tags will not be assigned until the lead is accepted.
Step 21: You also have the ability to add loan officers to your distribution rules. This can just be one or multiple loan officers that it distributes through.
Step 22: Lastly, you can also assign an ISA (Inside Sales Associate) to your distribution rule as well.
Step 23: Click on Create to create the new rule.
Step 24: Be sure you scroll up to the top of the page and click on Deploy Changes in the upper right corner. If you leave the page before clicking on Deploy Changes you will have to start over.
